Drop/Withdrawal and Refund Information
DROP/WITHDRAWAL AND REFUND INFORMATION
Once students have registered and paid tuition/fees for a course section, they are considered enrolled in that course until they have officially dropped it or received a grade. Simply not attending class will not automatically terminate students’ enrollment in courses. Stop Payment on the tuition/fees check does not serve as a withdrawal. Students who stop attending class without first officially dropping the course will be graded in the course according to the work completed.
Dropping a course or withdrawing from all courses can be processed through E-Services: www.uhcl.edu/records/eservices. Written requests to drop or withdraw may be faxed to 281-283-2530 or mailed to the Office of Academic Records, University of Houston-Clear Lake, 2700 Bay Area Blvd., Houston, TX 77058.
Drops/Withdrawals become effective the date that the drop is processed through E-Services, or the written notification is received in the Office of Academic Records. The effective date becomes the official date of the drop or withdrawal for all matters relating to university business. The student assumes responsibility for letters requesting a drop or withdrawal that are delayed or not delivered. Drop/Withdrawal requests received after the deadline will not be processed.
Student services and privileges, including library services and use of computer labs, terminate when a student cancels his/her registration or withdraws from the university. Students receiving financial aid are advised to contact the Office of Financial Aid prior to making changes in their enrollment status.
Class days are counted from the first official class day of a semester or summer/fall session, and include weekdays and Saturdays. Refunds will first be applied to outstanding obligations. All refunds will be processed and reimbursement will be done through the UHCL OneCard unless method of payment was by credit card. If payment was by credit card, then reimbursement will be refunded back to the credit card.
UHCL OneCard
As of spring 2008, all non-credit card refunds will be processed by HigherOne™ via the UHCL OneCard, not the University Cashier’s Office. The UHCL OneCard is now the official refund disbursement card for the university. Students will need to activate their card and choose one of three refund delivery methods: Easy Refund (direct deposit to a new free checking account and debit card), an electronic transfer to an existing bank account, or a paper check. The UHCL OneCard can currently be used on campus at the Bookstore, the Dining Hall, or at the Cashier’s Office to pay your college tuition and fees. Each student will receive a UHCL OneCard, which will be mailed directly to the student’s mailing address on file with the university. Cancellation Refund
If you cancel your registration by withdrawing from all of your classes before the first official day of classes for a summer/fall session or summer/fall semester, you are entitled to a full refund of tuition and refundable fees minus a $15 administrative fee.
Withdrawal Refund
Students who officially withdraw from all of their classes on or after the first official class day, may be eligible for a partial refund of tuition and refundable fees, according to the following schedule.
Students who have withdrawn from classes during a refund period may not see the correct balance until all processing and coding has been completed in the processing offices. This processing for Summer 09 should be completed by June 15.

Drop Course Refunds
The refund policy for dropped courses differs from the refund policy on total withdrawals. Students who drop classes on or before the 12th class day of a fall or spring regular session or on or before the fourth class day of a spring, summer or fall session lasting less than 10 weeks and who remain enrolled in the university for that semester may be refunded the applicable tuition and fees for classes dropped. Refunds will be prepared and mailed by the cashier’s office to the student’s address of record.
